SmartPortal Upgrade – Everything You Need to Know

We’re making things simpler, faster, and better for you.

Soon (the exact time will be confirmed the week commencing June 16), we will be launching a brand-new SmarPortal. This upgrade will improve your access to payslips, timesheet submission, contract management, and holiday and pension tracking. Here’s a quick summary of what’s changing and what you can expect.

What’s Staying the Same

  • No action needed from you – we’ll take care of the transition.
  • Your pay and assignments remain unaffected.
  • Our bank details are not changing.
  • The way you submit expenses remains the same.
  • You’ll still work with the same SmartWork team.

What’s New

1. New Portal for Timesheets
  • Easier to use and faster to navigate
  • Submit timesheets and upload files more efficiently
  • Optimised for mobile
2. Payslip by Email + SMS Payment Alerts
  • Choose to receive payslips directly to your inbox
  • Get an SMS alert when payment is on its way to your account
3. Clearer Payslip Layout
  • A new, cleaner payslip format
  • Easier to read and ideal for income verification (e.g. mortgage or rental applications)
4. Simpler Contract Signing with Signable
  • New assignments and extensions will be sent to your email for signing
  • No need to log into the portal to sign contracts

Payroll & Policy Updates

5. New Payslip Wording
  • “Bonus” will now be shown as “Additional Taxable Wage”
  • This helps when applying for loans, mortgages, or other income-related documentation
6. Pension Contribution Changes
  • Pension contributions will now follow auto-enrolment guidelines based on qualifying earnings (£120–£967 per week)
  • Employer: 3% | Employee: 5%
  • You can also make Additional Voluntary Contributions (AVCs) to boost your pension
7. Private Pension Flexibility
  • Choose to contribute a fixed amount or a fixed percentage weekly or monthly

Holiday Changes

8. Holiday Year Alignment
  • We’re changing to a calendar year holiday cycle (Jan–Dec)
  • The current holiday year will be extended to 31st December 2025
9. Updated Holiday Accrual
  • We’ll now accrue your full holiday entitlement and pay it when requested
  • No more part-advanced holiday pay — it’s all tracked and paid out on request
